Your data & cancellation
Leaving should be as easy as joining. This page says exactly what you can take with you, in what format, and what happens to your readers when you go.
Draft — requires review by qualified legal counsel before launch.
This document describes how EditionCove intends to operate. It has not yet been reviewed by a lawyer, is not a substitute for legal advice, and may change before the service is generally available. Draft dated October 25, 2026.
1. The principle
Your writing, your subscriber list and your payment relationship are yours. Nothing on this platform is designed to make leaving harder than staying. There is no waiting period before export, no fee for it, and no step that requires contacting us — though you can, if you prefer.
2. What you can export
From Settings → Data export, the organization owner can download, at any time:
- Subscribers (CSV): one row per subscriber with name, email, mailing address and its verification status, plan, price, status, start date, paid-through date, pause and cancellation dates, and the Stripe customer and subscription identifiers on your connected account.
- Address history (CSV): every address a subscriber has held, with the dates it applied.
- Issues (CSV plus files): one row per issue with its number, title, dates, status and approval record; every uploaded or generated PDF, including superseded versions; and editor documents as JSON.
- Mailing runs (CSV): one row per run with the provider, mode, quoted and invoiced amounts, state history and timestamps; and one row per recipient in each frozen manifest, with the address as mailed and any tracking or return events.
- Financial records (CSV): every charge we made to you, every provider invoice, and per-issue revenue and cost as computed in your reports.
- Audit log (CSV): who did what and when in your organization.
Exports are plain CSV, JSON and PDF — formats any spreadsheet, database or other tool can read — and are packaged as a single download. Large exports are prepared in the background and you are emailed a link when the file is ready.
In testing The self-service export is in testing. Until it reaches your account, request an export through the contact form and we will prepare the same package.
3. What happens to your subscribers when you cancel
- Their subscriptions keep running. Because readers pay into your own Stripe account, cancelling your EditionCove subscription does not cancel theirs. They continue billing on Stripe exactly as before, and you can manage them from your Stripe dashboard or connect them to another tool.
- Any transaction fee stops. If your tier carried a fee on reader revenue, we remove it from your subscriptions before your account closes so it is not collected after you leave.
- The reader portal stops being hosted by us. Stripe's own customer portal can take its place; we tell you how in the cancellation flow.
- No further issues are mailed by us. Mailing runs you approved before cancelling are completed and charged as quoted. Nothing is approved on your behalf.
- Your readers are not contacted by us. We do not email your subscribers about your departure, offer them anything, or keep their details for any purpose of our own.
4. How to cancel
- Export your data (section 2). You can also do this during the 90 days after cancelling.
- Make sure no mailing run is awaiting approval that you still want to send, and that any run already approved has completed.
- Go to Settings → Subscription → Cancel. The screen summarizes what will happen and asks you to confirm.
- Your software subscription ends at the close of the paid month. You can keep signing in to export until the retention period ends.
5. Retention and deletion
- For 90 days after cancellation your account is suspended but intact: you can sign in to export, and you can reactivate with everything in place.
- After 90 days we delete your content, subscriber records, addresses and manifests from production systems, and from backups on their normal rotation (no more than 35 days later).
- We keep financial records — invoices, charges, provider invoices and the audit entries that support them — for seven years as tax and accounting law requires. These do not include subscriber addresses.
- You can ask for earlier deletion by writing to support@editioncove.com; we will complete it within 30 days except for the records we are required to keep.
6. Moving to us from somewhere else
The same openness applies in the other direction. CSV import of an existing subscriber list with addresses and paid-through dates is planned (Coming in a later release), and imported subscribers will be marked as migrated so you can distinguish them in reports. Until then, we will help early-access publishers import a list by hand.
7. Questions
